Privacy Policy

The Journal of Nursing and Community Health, Boromarajonani College of Nursing Khon Kaen Alumni Association (the “Journal”), is committed to protecting the personal data of its readers, authors, reviewers, editorial board members, and website users. The Journal collects, uses, discloses, and safeguards personal data in compliance with the Personal Data Protection Act B.E. 2562 (2019) of Thailand and other applicable laws and regulations.

1. Personal Data Collected by the Journal

The Journal may collect personal data provided by users through the ThaiJO system, including:

  • Full name;
  • Title and academic qualifications;
  • Institution or affiliation;
  • Postal address and country;
  • Telephone number;
  • Email address;
  • Username;
  • ORCID iD;
  • Professional profile and areas of expertise;
  • Manuscripts, articles, and supplementary submission files;
  • Peer-review reports and comments;
  • Correspondence and communication records; and
  • Other information necessary for the administration and operation of the Journal.

The system may automatically collect certain technical information, including IP addresses, device types, browser information, dates and times of access, system usage logs, and cookies necessary for the operation and security of the website.

The Journal does not intend to collect sensitive personal data unless such collection is legally necessary and is carried out in accordance with applicable legal requirements.

2. Purposes of Personal Data Processing

The Journal processes personal data for the following purposes:

  1. To register and administer user accounts;
  2. To receive, verify, screen, review, revise, and publish manuscripts;
  3. To communicate with authors, reviewers, and other individuals involved in the editorial process;
  4. To administer the double-anonymous peer-review process;
  5. To verify the integrity of submitted work, authorship, conflicts of interest, research ethics compliance, plagiarism, and duplicate or simultaneous submissions;
  6. To prepare and disseminate bibliographic information, statistics, reports, and academic citation indexes;
  7. To maintain system security, prevent misuse, and improve system performance;
  8. To comply with applicable laws, regulations, publication standards, and principles of publication ethics; and
  9. To distribute Journal news and announcements when users have provided their consent or subscribed to receive such information.

3. Legal Bases for Processing

The Journal processes personal data as necessary:

  • To take steps at the request of an individual or to fulfill arrangements relating to manuscript submission and publication;
  • For the Journal’s legitimate interests in administering its operations and maintaining academic and publication standards;
  • To comply with legal obligations; and
  • On the basis of consent where required by law.

Where processing is based on consent, data subjects may withdraw their consent at any time. Withdrawal of consent shall not affect the lawfulness of any processing carried out before the consent was withdrawn.

4. Publication and Disclosure of Personal Data

Authors’ names, academic qualifications, affiliations, countries, academic contact email addresses, ORCID iDs, and information relating to their articles may be published as part of the article and its bibliographic metadata once the article has been accepted for publication.

The Journal may disclose personal data, only to the extent necessary, to:

  • The Editor and editorial board members;
  • Reviewers;
  • ThaiJO system administrators;
  • Technical service providers;
  • Academic indexing services, repositories, and databases; and
  • Government authorities or other organizations legally authorized to request such information.

Appropriate confidentiality and security safeguards shall be applied to any such disclosure.

The names and identifying information of reviewers shall be kept confidential in accordance with the Journal’s double-anonymous peer-review process, unless disclosure is required by law or the reviewer has provided explicit consent.

The Journal will not sell, trade, or disclose personal data for commercial purposes unrelated to the operations of the Journal.

5. Data Retention

The Journal will retain personal data only for as long as necessary to:

  • Process and publish manuscripts;
  • Conduct retrospective reviews or investigations;
  • Preserve the integrity of the scholarly record;
  • Comply with legal and regulatory requirements; and
  • Protect the Journal’s and relevant individuals’ legitimate rights.

When personal data is no longer necessary, the Journal will delete, destroy, or anonymize the data using appropriate methods.

Information forming part of published articles, bibliographic metadata, editorial decision records, and evidence necessary to maintain the reliability and integrity of the scholarly record may be retained for an extended period in accordance with academic record-retention principles.

6. Rights of Data Subjects

Subject to the conditions and limitations prescribed by applicable law, data subjects have the right to:

  • Request access to and obtain a copy of their personal data;
  • Request correction of inaccurate or incomplete data;
  • Request deletion or destruction of their personal data;
  • Request restriction of processing;
  • Object to the processing of their personal data;
  • Request receipt or transfer of their personal data;
  • Withdraw consent; and
  • Lodge a complaint with the Personal Data Protection Committee or other competent authority.

The exercise of certain rights may be restricted where the data is necessary for legal compliance, the confidentiality of the peer-review process, the establishment or defense of legal claims, or the preservation of the accuracy, reliability, and integrity of the scholarly record.

7. Data Security

The Journal implements appropriate administrative and technical measures to protect personal data against unauthorized or unlawful loss, access, use, alteration, disclosure, or destruction.

Access to personal data is restricted to individuals who require such access to perform their assigned duties and responsibilities.

8. Personal Data of Co-authors

The submitting author is responsible for informing all co-authors that their personal data will be entered into the Journal’s submission system and for ensuring that the submitting author has an appropriate right or lawful basis for providing such information to the Journal.

9. Changes to This Policy

The Journal may revise this Privacy Policy periodically to reflect changes in its operations, technology, applicable laws, or publication standards. The date of the most recent revision will be displayed on the Journal’s website.
